Entries close Midnight Tuesday before the show and late entry fee is £3 per class.
All Classes New BD 2024 tests.
Classes are open to everyone

You will receive an email confirmation of your booking and payment.

In the event of a high number of entries to avoid long gaps between tests some classes/ sections may be split and/or classes run outdoors.

Withdrawals/Refunds

WITHDRAWALS
Please inform us of withdrawals as soon as possible and they must be confirmed in writing- by email. Email: wprodwell@wcg.ac.uk - Tel: 03301356416 No transferal of entries to future shows if withdrawing.

REFUND POLICY
No refunds are made after the close of entries. 50% of the entry fees will be refunded to those withdrawing in writing before the close of entries.
In the event of the competition being cancelled, the organiser is entitled to retain £2.50 per rider.
The remainder to be refund to all entrants.

1. Definitions
For the purposes of these procedures and terms:
“College” means Moreton Morrell College Equine Centre.
“Hirer” means the individual, coach, instructor, organisation, or representative booking the facilities.
“Venue” means the arenas, stabling, yards, parking areas, classrooms, or any agreed part of the Equine Centre included within the booking.
“Hire Period” means the agreed period of use including arrival, set up, riding time, and departure.
“Event” means any arena hire, lesson, clinic, training session, demonstration, camp, or equine-related activity taking place on site.
“Attendees” means all riders, spectators, visitors, grooms, trainers, guests, contractors, and support persons attending in connection with the booking.

2. Booking Requirements
Following enquiry and agreement of a provisional booking date/time, all hirers must:
Read and Complete the required booking form or online booking process;
Provide emergency contact information;
Confirm acceptance of these Terms & Conditions;
Provide details of any instructor, coach, or clinician attending site;
Provide Public Liability Insurance documentation where applicable;
Provide risk assessments for larger clinics or organised events where requested by the College.
Bookings are only confirmed once payment and all required documentation have been received and accepted by the College.
The College reserves the right to refuse or cancel any booking at its discretion.

3. Charges & Payment
Hire charges will be confirmed at the time of booking;
Full payment or a deposit may be required to secure the booking;
Payment must be made in accordance with the booking confirmation;
Additional charges may apply for damages, excessive cleaning, late departure, or additional facility use;
The College reserves the right to vary charges where operational costs increase or additional requirements arise.
Failure to make payment may result in cancellation of the booking.

4. Insurance Requirements
For private arena hire:
Riders attend and use facilities entirely at their own risk;
The College strongly recommends all riders hold appropriate horse and rider insurance.
For coaches, instructors, clinicians, camps, or commercial activities:
Valid Public Liability Insurance must be held;
Insurance must cover all equine activities undertaken on site;
Insurance documentation must be supplied prior to attendance where requested.
The College reserves the right to refuse access where suitable insurance is not in place.

5. Use of Facilities
The Hirer may only use the Venue for the agreed purpose and during the agreed Hire Period.
The Hirer must:
Ensure attendee numbers remain within safe limits;
Individuals hiring an arena MUST have at least one person with them and both have mobile phones
Use facilities responsibly and safely;
Comply with all instructions from College staff;
Ensure all attendees follow these procedures.
The College gives no warranty regarding the suitability of facilities for a specific purpose and hirers are responsible for satisfying themselves prior to use.

Safeguarding
Moreton Morrell College is an educational establishment with residential students and safeguarding is a priority at all times.
Visitors may only access: • Equine Centre facilities; • Booked arenas and agreed spaces • Agreed stabling areas; • Car parks and designated visitor areas.
Visitors must not enter: • Student accommodation; • Teaching buildings; • Offices; • Workshops; • Farms; • Maintenance or restricted areas. Any safeguarding concerns must be reported immediately to College staff. Where activities involve children or young people under 18 years of age, the Hirer is responsible for ensuring appropriate safeguarding measures, supervision, and procedures are in place. 7. Health & Safety Compliance All riders and attendees must comply with current health and safety legislation and College safety procedures Requirements include: • Correctly fitted riding hats meeting current safety standards must be worn while mounted; • Suitable footwear and riding attire must be worn; • Activities must be appropriate for the ability of the horse and riders • Unsafe riding or behaviour will not be tolerated. The College reserves the right to stop any activity considered unsafe. Risk assessments are required for larger clinics, camps, or organised events. 8. First Aid & Emergencies Riders attend at their own risk; Organisers of clinics or group activities are responsible for ensuring adequate First Aid provision; Any accidents, incidents, injuries, hazards, or near misses must be reported immediately to College staff. In an emergency: Contact Emergency Services via 999; Keep emergency access routes clear; Inform College staff as soon as safely possible. Fire Safety Procedures All visitors must familiarise themselves with fire evacuation procedures upon arrival. Fire exits, access routes, and firefighting equipment must not be obstructed;
We are a non smoking campus: Smoking and vaping are only permitted in designated areas.
In the event of a fire call 999
In the event of fire:
Raise the alarm immediately;
Evacuate to the designated assembly point;
Do not attempt to tackle a fire unless trained and safe to do so;
Contact Emergency Services via 999.

10. Equipment & Temporary Structures
College equipment, jumps, furniture, or fittings must not be removed or altered without permission;
Temporary structures, banners, generators, marquees, or signage may only be used with prior approval;
Nothing may be nailed, screwed, taped, or fixed to College buildings or surfaces without permission;
All equipment and belongings must be removed immediately following the Hire Period
Any property left on site remains entirely at the owner’s risk.

11. Arena, Yard & Stabling Responsibilities
Where applicable:
Arenas must be left tidy and jumps returned as instructed;
Droppings must be removed from arenas, yards, parking areas, and walkways;
Stables must be skipped out and left clean;
Hay, feed, bedding, and equipment must be removed after use;
Yard areas and parking spaces must be left clean and safe.
Additional cleaning or damage charges may apply.

12. Site Access & Conduct
Access is strictly limited to booked and authorised areas;
Vehicles, trailers, and horseboxes must only park in designated areas;
The site speed limit is strictly 10mph;
Dogs must remain on leads at all times;
Respectful behaviour towards staff, students, horses, and other users is expected.
The College reserves the right to remove any individual behaving in an unsafe, abusive, disruptive, or inappropriate manner.

13. Cancellation Policy
Cancellation by the Hirer may be subject to cancellation charges in accordance with the booking agreement.
The College reserves the right to
Cancel bookings;
Refuse access;
Relocate activities;
Amend arena allocation or timings;
where necessary due to:
Safety concerns;
Operational requirements;
Weather conditions;
Maintenance issues;
Force majeure events;
Failure to comply with these Terms & Conditions.
The College will not be liable for indirect losses, costs, travel expenses, or consequential damages arising from cancellation.

14. Liability
All persons attending the Equine Centre do so entirely at their own risk.
The College accepts no responsibility for:
Loss, theft, or damage to vehicles, horseboxes, trailers, tack, equipment, or personal belongings;
Injury to persons or horses unless caused directly by proven negligence of the College.
The Hirer shall be responsible for:
Any damage caused by themselves, their horse(s), attendees, or guests;
Ensuring all attendees comply with these procedures.

15. Acceptance of Terms
By confirming a booking, attending the site, or using the facilities, the Hirer confirms acceptance of these
Terms & Conditions and agrees to comply fully with all College procedures and staff instructions.
