Show Information

All competitors must be a member of The Pony Club (except Geriathlon class).
Entries close: 9am on Saturday 20th May 2023. Classes may close earlier if maximum capacity is reached. No late entries, but a wait list will be held.

RIDE INFORMATION:
• The ride phase will be run in accordance with the Pony Club Tetrathlon 2023 Rule Book except for the following ammendments:
• Arena eventing, to include a slip rail (no slip rail in classes 1a, 1b, 3a, 3b & 3c).
• Cross country dress or showjumping dress is acceptable.
• Scoring for classes 1a, 1b, 3a, 3b & 3c – local rules apply.
• The ride phase will be held over an initial course of coloured show jumps, followed immediately by a course of rustic working hunter style fences.
• Course walking will be available before the start of each class.
• Competitors must present to the steward at least 15mins before their designated time.
• Horses/ponies must not be tied outside trailers and lorries.

SHOOT INFORMATION:
• The shoot phase will be run in accordance with the Pony Club Tetrathlon 2023 Rule Book except for the following ammendments:
• Competitors must present their guns to the Shoot Phase Secretary for checking at least 15 minutes before their Shoot Detail is scheduled to start.
• Scored targets will be available for collection from the Shoot Phase Secretary. These must be checked and signed for by one authorised representative of the competitor or team. If targets are removed from the inspection area for whatever reason prior to being signed off, the score as given must stand. No gauges or other scoring equipment shall be used by anyone other than the Scorers.

SWIM INFORMATION:
• The swim phase will be run in accordance with the Pony Club Tetrathlon 2023 Rule Book except for the following ammendments:
• A buoyancy aid may be used by Beanies however, they MUST be able to swim 25m INDEPENDENTLY of anyone holding them.
• We are STRICTLY limited on poolside to 12 spectators due to Lord Wandsworth College’s risk assessment. This may mean that we swim Beanies and Tadpoles together to allow younger family groups to swim together. There will be no warm up swim for Beanies and Tadpoles. Please be understanding of this rule as it is out of our control.
• No food or drink (except water bottles) allowed poolside.

RUN INFORMATION:
• The run phase will be run in accordance with the Pony Club Tetrathlon 2023 Rule Book.
• The run phase will take place in groups of not more than 12 runners.

GERIATHLON CLASS:
• This class will be run in accordance with the Pony Club Tetrathlon 2023 Rule Book.

Dogs: Dogs must be kept on leads at all times at Merrist Wood and remain the responsibility of the owner. If any dog is found loose on the College grounds unattended, then appropriate action will be taken. Dogs are not allowed into the viewing gallery.
Dogs are not allowed at Lord Wandsworth College at any time, under any circumstances.

Refreshments: Will be available on both days.
Teams: Branch or centre teams to be declared (where not obvious) by Tet managers to the Entries secretary by close of entries. There will be no Tri teams and no mixed branch teams.
Communication: Tet managers/parents will be asked to join a WhatsApp group that can be used to disseminate information before and during the competition.
Photos: Photography by www.mhphotos.co.uk will be present for all phases of the tetrathlon & triathlon except the swim.

LEGAL LIABILITY : Save for death or personal injury caused by the negligence of the Organisers, or anyone for whom they are in law responsible, neither the Organisers of the event nor The Pony Club nor any agent, employee or representative of these bodies, nor the landlord, his tenant(s) or his licensee accepts any liability for any accident, loss, damage, injury or illness to horses, owners, riders, spectators, land, cars, their contents and accessories, or any other person or property whatsoever, whether caused by their negligence, breach of contract or in any other way whatsoever.

HEALTH, SAFETY & WELFARE : Organisers of Tetrathlon Competitions take reasonable precautions to ensure the health and safety of everyone present. For these measures to be effective, everyone must take all reasonable precautions to avoid and prevent accidents occurring and must obey the instructions of the Organisers and all the Officials and Stewards.

RULES AND CONDITIONS OF ENTRY - Your entry is deemed to include acceptance of the rules:
• This competition will be run in accordance with the Pony Club Tetrathlon 2023 Rule Book. • The decision of the Judges and Event Organisers is final. They reserve the right to alter, amend or cancel any part of the competition depending on entry numbers. The organisers reserve the right to run the classes in any order to suit the entries. • Withdrawals made before the closing date will be refunded minus a £5 admin charge. • Withdrawals made after closing date will only be refunded with the receipt of a vet or doctor’s certificate, less £5 administration fee. There will be NO refund of entry fee after the publication of times. • If for any reason the event is cancelled, all entries will be refunded less £5 cancellation charge per entry to cover incurred expenses. In the case of abandonment, no refunds will be given except at the discretion of the organising committee. • No changes to teams can be made on the day, only substitutions of individuals moving into a team to fill a gap • Insurance: adult competitors are not covered by The Pony Club insurance and must have their own third party cover. The organising Branch and the committee of this event are not legally responsible for non-Members and their insurance will not cover you. • Horses/ponies competing may only be ridden by their competitor. Horses/ponies may compete in no more than 3 rounds. No horse/pony under the age of 5 years may compete. No lungeing allowed at Merrist Wood. • Hats - all competitors must wear a protective helmet manufactured to the minimum standards stated in the current Pony Club rules, with a current PC hat tag. When mounted the chinstrap must be fastened at all times. • The SJ steward may conduct a tack and safety check before the SJ round (this includes competitors in class 12). • Vaccination certificates & passports - All horses must have up to date vaccinations (within 12 months) against equine influenza. Vaccination certificates and passports should be carried with the horse/pony to all competitions and must be available for inspection if asked by an event official. • Please ensure that the area around your horsebox or trailer is left clean and tidy and in particular that all droppings, hay and rubbish are cleared up and taken home with you. You may only park in a designated area. Parking on a verge or other non designated car park will render the driver liable for the damage incurred. • Protests & objections - any query about a competitor’s score must be made only to the Event Organiser. No approach may be made to the Judge, Timekeeper, Fence Judge or any Official concerned. Protests or objections must be made in writing and addressed to the Event Organiser. Only Tetrathlon Team Managers, or their Appointed Representative, are entitled to lodge a protest or objection. Protests must be accompanied by a deposit of £25, which is forfeit unless the Event Organiser, decides that there were good and reasonable grounds for it. Protests or objections must be made not later than half an hour after the incident that gave rise to them, or half an hour after the last score has been published. • The Pony Club has a code of conduct for it’s members and their families. If any competitor or their connections behaves in a rude or aggressive manner (including but not limited to: misuse of the whip or spurs, swearing, physical or verbal abuse of stewards or helpers) this could incur elimination of the competitor AND their whole team.
