This is a fun relaxed event designed to give competitors one of their first eventing experiences and entries should be made in this spirit.

Payment Details & Event Fees
Payment is secure and it goes directly to HHPC.
You will receive an email confirmation of your class entry and payment.

Entry Fee: £50.00 for all classes to include First Aid Fee
Team and Individual entries will be taken for each class. Teams to be 3 or 4 members.
No Team Fee – Entry Form scanned and sent to: hhponyclub.entsec@gmail.com

For Individual Entries:
1. Late entries: may be accepted if there is space, there will be a £10 per entry late payment fee for entries received after the closing date.
2. Withdrawals: can be made without forfeit of entry fee up to the close of entries on Thursday 1st September 2022. Withdrawals after this date will only be refunded on the presentation of a vet or doctor’s certificate (within 3 days of the event) less a £10 administration fee.
3. There will be NO refund of entry fee for a withdrawal after the publication of the times.
4. A rider may substitute a horse if it is in the same class
5. A rider cannot be moved from one class to another after the close of entries.

For team entries:
1. Details of all team members and ponies must be received by close of entries
2. Team changes, where possible, should be made before the close of entries. These should be emailed directly to the Entry Secretary.
3. Once the times have been published, we will not make cosmetic changes to teams. We will move an individual into a team to replace a withdrawal but we will not move riders between teams.
4. No changes to teams can be made on the day, only substitutions of individuals moving into a team to fill a gap up until the starting time of the class.

Prize Giving For all classes will be held as soon as possible after the end of each class – competitors will be expected to be properly dressed in hats and jackets.

Terms & Conditions
Health, Safety & Welfare - Organisers of this event have taken reasonable precautions to ensure the health and safety of everyone present. For these measures to be effective, everyone must take all reasonable precautions to avoid and prevent accidents occurring and must obey the instructions of the organisers and all the officials and stewards. Legal Liability - Save for the death or personal injury caused by the negligence of the organisers, or anyone for whom they are in law responsible, neither the organisers of this event or The Pony Club nor any agent, employee or representative of these bodies, nor the landlord or his tenant, accepts any liability for any accident, loss, damage, injury or illness to horses, owners, riders, spectators, land, cars, their contents and accessories, or any other person or property whatsoever. Entries are only accepted on this basis. All persons entering the grounds shall be bound by these Rules and Conditions Privacy Notice - Please note that we will be publishing the competitors’ times and results on the HHPC website, this will include competitors’ name, horse name, branch and full results. If you wish your details to be excluded from these publications, please make a note of this on your entry form. Please refer to the branch privacy policy on the HHPC website. 1. The event will be run and judged in accordance with the current PONY CLUB EVENTING RULES and any Government COVID-19 restrictions that may apply on the day. It is your responsibility to familiarise yourself with all these rules. A copy of the Pony Club Eventing Rule Book 2022 will be available at the secretary’s tent. HOWEVER, because this is a Mini event, some rules have been relaxed. If there is any dispute relating to the relaxation of the Rules, we reserve the right to revert fully to The Current Official Pony Club Rules as stated above. 2. In light of the changes, made by BE and with child safeguarding at the forefront of our minds we have added the following rule: If you fall off in the Dressage or Show Jumping you may remount and continue that phase (if able and happy to) but you must be seen, and signed off, by the Show Jumping ambulance crew before going to the next phase. If you fall off anywhere on the Cross-Country, you will be eliminated and must leave the course and be checked by the ambulance crew before leaving the site. However, in all cases if the judge deems it unsafe for the competitor to continue to the next phase, their decision WILL BE FINAL. 3. Spectators who are not members of The Pony Club are not covered by The Pony Club Insurance and must have their own third-party cover. The Hampshire Hunt Branch of The Pony Club and the organisers of this event are not legally responsible for non-Members and their insurance will not cover you. 4. No horse/pony may be entered in more than one class. 5. No stallions will be allowed to attend or compete at this event without the permission of the HHPC DCs. 6. The organisers reserve the right to refuse entry at their discretion without stating a reason, and to alter, amend or cancel any part of the competition, including the order the classes run. 7. If the event is CANCELLED for any reason, every effort will be made to send an email to everyone to notify them. A decision will be made AS EARLY AS POSSIBLE BUT PLEASE CHECK THE HHPC WEBSITE IF IN ANY DOUBT. Please do not telephone. If the event is cancelled, entry fees will be refunded less the sum of £10 per entry to cover administration. In the case of ABANDONMENT, no refunds will be given except at the discretion of the organising committee. 8. VACCINATION CERTIFICATES & PASSPORTS: All horses must have up to date vaccinations against equine influenza. Vaccination certificates and passports should be carried with the horse/pony to all competitions and must be available for inspection if asked by an event official. 9. NUMBERS will not be given out for Number Bibs. Numbers can be downloaded from www.ponyclubresults.co.uk - simply click on your name – you will need your own number bib. You will need to print 3 copies of your number – 2 for your bib and one to display in your vehicle. 10. On arrival please be prepared to show: Your Number, Hat(s) & Body Protector 11. Due to recent accidents horses/ponies tied to the outside of trailers/lorries MUST NOT be left unattended. 12. The decisions of the Judges, Organisers and The Official Steward are final.13. PROTESTS OR OBJECTIONS: Any query about a competitor’s score must be made only at the Secretary’s Office. No approach may be made to the Judge, Timekeeper, Fence Judge or Official concerned. Protests or objections must be made in writing and addressed to the Official Steward. Only District Commissioners or their Appointed Representatives are entitled to lodge a protest or objection. Protests must be accompanied by a deposit of £25, which is forfeit unless the Official Steward/Organiser, decides that there were good and reasonable grounds for it. Protests or objections must be made not later than half an hour after the incident that gave rise to them, or within half an hour after the scores have been published. Objections to Dressage scores must be made not later than 1/2 hour after the scoresheets have been released. 14. All competitors must report to their respective Stewards at least 15 minutes before their time to compete for a TACK CHECK. Tack must be in accordance with the Pony Club Rules. It is the rider’s responsibility know the tack check rules and to be in the right place at the right time. 15. HATS adhering to current Pony Club rules must be tagged, worn and fastened when mounted. 16. BODY PROTECTORS are compulsory for the cross-country phase. Back protectors used for cross country must meet BETA 2009 Level 3 standard (purple label) or BETA 2018 Level 3 standard (blue and black label). Air Jackets ARE NOT to be worn under any item of clothing. If worn it must only be used in addition to a normal body protector which meets the above standard. Medical Armbands are recommended and if used MUST be worn on the arm. 17. SPURS: Only blunt spurs, without rowels or sharp edges, and spurs that have a smooth rotating ball on the shank may be worn. If the spurs are curved, the curve must be downwards, and the shank must point straight to the back and not exceed 4cm in length. The measurement is taken from the heel of the boot to the end of the shank. 18. JEWELLERY - No jewellery is allowed for safety reasons, other than medical jewellery, a wristwatch, a wedding ring, a stock pin worn horizontally or a tie clip. It is recommended that stock pins are removed for cross country. Members who are contemplating piercing their ears or any other part of their body should be aware that they will not be allowed to compete until such a time as the “sleepers” can safely be removed. This rule will be strictly enforced. 19. No head cams or XC watches are allowed. 20. The organisers reserve the right to stop and eliminate or disqualify any competitor who is deemed to display misuse of whip or spurs, unseemly or aggressive behaviour, or blatant bad language by riders or their parents/guardians, trainers or supporters. 21. Warming up of horses in the Box/Trailer/Car Parks is strictly prohibited. Please use the areas provided. No horses may be ridden other than by the competitor on the day of the competition. No lungeing. 22. The Cross Country will be timed. Any competitor deemed to be going dangerously fast will be eliminated. 23. RESULTS: We will be running live scores throughout the day, and these can be found on www.ponyclubresults.co.uk 24. Please leave your parking area clear of hay and droppings. ALL litter must be picked up and disposed of responsibly.
